What corrective-action evidence should I request for nonconforming gears?

Request a part-specific nonconformance record, containment and sorting evidence, verified root cause, permanent corrective action, implementation proof and effectiveness results. The evidence should identify the affected drawing revision and lot, explain why the defect occurred and escaped, and show how recurrence will be checked. Agree the response format and due dates before production; an 8D report is useful only when its conclusions are supported by records.

Contain the affected population first

Ask for the nonconformance record, drawing revision, part and lot identifiers, defect definition and measured results. The response should state which stock was placed on hold, how the suspect population was defined, what was sorted or re-inspected, and how conforming and nonconforming parts were separated.

Containment protects the immediate shipment; it is not the permanent corrective action. If material has already shipped, agree the notification, traceability and disposition path. PairGears' published failure-handling process is useful context, but the evidence must be specific to your affected part.

Require a verified cause and escape point

Separate the cause that created the defect from the reason the control plan or inspection did not detect it. Ask for the actual process, measurement or material evidence used to verify both. A cause statement based only on brainstorming, operator opinion or an untested five-why chain is not enough.

  • Occurrence evidence: process data, tooling condition, setup, heat-treatment, material or handling records tied to the lot.
  • Escape evidence: inspection method, sampling, gage capability, reaction plan and the point where the defect should have been detected.
  • Risk review: similar parts, tools, machines and open orders checked for the same failure mode.

Close only after the action proves effective

Request the approved process change, updated work instruction or control plan, training where relevant, and results from the trial or first controlled lot. The closure package should show the acceptance criteria, sample size or review period, results and the person who approved closure.

ASQ's 8D outline distinguishes containment, verified root cause, permanent correction, implementation and validation. Use that sequence when it matches your customer requirements, but do not assume every issue needs the same form. PairGears' defect-prevention guidance covers the controls to agree before the next shipment.
